Role Summary

The Administrative Assistant – Intake & Office Support is the primary support role for IncrediCare’s administrative operations. This position acts as the first point of contact for incoming calls and inquiries while providing dependable internal office support that allows senior administrative staff to stay focused on higher-level work.

This role is ideal for someone who enjoys being the go-to person, keeping things organized, and making sure nothing slips through the cracks.


Key Responsibilities

Phones & First Contact

  • Answer and triage incoming office calls
  • Respond to general inquiries and intake calls with warmth and professionalism
  • Route calls and messages appropriately and ensure timely follow-up

Intake Support

  • Conduct initial intake conversations using established scripts and forms
  • Gather and document client information accurately
  • Schedule intake conversations or assessments with the appropriate team members
  • Track intake follow-ups to ensure no inquiry is missed

Office & Administrative Support

  • Support internal office operations, including document preparation, filing, and data entry
  • Assist with caregiver and client documentation
  • Maintain organized digital and physical records
  • Handle routine administrative tasks that keep the office running smoothly

Support to Senior Administrative Lead

  • Provide overflow and backup support to the Administrative Operations Lead
  • Take ownership of assigned tasks and follow-through
  • Anticipate needs and flag issues early

What This Role Does Not Do

  • Does not make care, staffing, or clinical decisions
  • Does not independently handle escalations
  • Does not supervise other staff

This role supports execution and flow — not authority.


Qualifications

  • Prior administrative or office support experience
  • Strong phone presence and communication skills
  • High reliability and attention to detail
  • Comfort handling sensitive information
  • Caregiving or home care experience strongly preferred
